Customization Instructions & Rules
You may personalize this medallion using the “Customize It” WYSIWYG editor or by completing and emailing the PBS Engraving Form (Highly Suggested) with your oroder. Please review the following guidelines carefully before submitting your order:

Text & Images

You may add black text or monochrome images (solid black only) with a transparent background (.png format).

You may also use an offline editor to create a monochrome image containing your text, then upload it and scale it within the engravable area.

No color, grayscale, or shaded images are allowed.

Placement

All custom text and images must remain within the designated engravable area.

Do not touch or cross any pre-defined lines, borders, or edges.

Sizing & Formatting

You may resize text and images to fit the area.

The editor allows you to select from various fonts and styles, and you may also create curved text.

Final Engraving

Your medallion will be laser engraved exactly as shown in the editor once you save and place your order.

Custom Medallion Design & Production Terms and Conditions
Effective Date: April 29, 2026
These Terms and Conditions (“Agreement”) govern all custom medallion design and production services provided by Award Mint, LLC (“Award Mint,” “we,” “us,” or “our”). By placing an order, submitting payment, or approving a design, the customer (“Customer” or “you”) agrees to be bound by this Agreement.
1. Scope of Services
Award Mint provides fully custom medallion design and production services, including:
- Custom artwork and layout design
- Conversion of artwork into production-ready grayscale height/depth maps
- Laser engraving, CNC machining, or stamped medallion production
- Optional finishing, plating, engraving, and packaging
All products are made to order and are considered custom goods.
2. Right to Refuse Service
- Award Mint reserves the right, at its sole discretion, to refuse any order, design, or request for any reason.
- This includes, but is not limited to, designs that Award Mint determines to be:
- Obscene
- Offensive or inappropriate
- Derogatory or defamatory
- Disparaging toward any individual, group, or organization
- Determinations under this section are made solely at the discretion of Award Mint and are not subject to dispute.
3. Design Process & Customer Responsibility
- The Customer is solely responsible for reviewing and verifying all design proofs prior to approval.
- This includes, but is not limited to:
- Names, dates, spelling, punctuation, and grammar
- Layout, proportions, spacing, and alignment
- Image selection and likeness accuracy
- While Award Mint may provide recommendations, final responsibility for accuracy rests entirely with the Customer.
4. Final Approval & No Refund Policy
- Once the Customer provides final approval (written or electronic):
- The design is deemed fully accurate and accepted in its entirety
- Production may begin immediately
- Due to the custom nature of the product:

No refunds, credits, or cancellations will be issued after final approval for:
- Spelling or grammatical errors
- Layout or design issues
- Missed or overlooked details
- Dissatisfaction with likeness or artistic interpretation
- Any other inaccuracies identified after approval
This policy is strictly enforced.
5. Likeness & Rendering Disclaimer
- Award Mint makes every reasonable effort to produce accurate renderings, including facial likenesses.
- However:
- Renderings are artistic interpretations, not exact replicas
- Likeness is inherently subjective
- Final products may vary from digital previews due to:
- Material properties (e.g., brass finish, plating)
- Lighting and rendering limitations
- Machine translation of grayscale depth maps into physical relief
By approving a design, the Customer acknowledges and accepts these limitations.
6. Production Method Acknowledgment
- The Customer understands that:
- Approved artwork is converted into a grayscale height/depth map
- This file directly drives the machining or engraving process
- As a result:
- Minor variations between renderings and finished products are normal and expected
- Exact visual duplication of digital previews is not guaranteed
7. Changes & Revision Fees

Before Final Approval:
Revisions may be allowed at Award Mint’s discretion and may incur additional fees.

After Final Approval but Before Production Begins:
- Any change will incur a minimum $100 revision fee

After Production Begins or Machining is Complete:
- Changes require a new order at full production cost
8. Pricing & Payment
- Full or partial payment may be required before production begins
- Orders will not be scheduled for production until payment requirements are satisfied
- All prices are subject to change prior to final design approval unless the order, including all applicable revision costs, has been paid in full.
- Once payment is made in full:
- Pricing is locked for the approved scope only
- Any additional changes or upgrades will incur additional charges
9. Custom Product Policy (No Returns or Exchanges)
- All medallions are custom-manufactured items
- As such:
- No returns or exchanges are accepted
- Exceptions apply only in cases of:
- Verified manufacturing defects
- Damage during shipping

In the event of a verified manufacturing defect or shipping damage:
- The item will be replaced, not refunded, based on the originally approved design and artwork
- The Customer is required to return the original product as a condition of replacement

Claims must be submitted within two (2) days of confirmed delivery and must include supporting documentation (e.g., photographs of the product and packaging). Claims submitted after this period may be denied.
10. Intellectual Property & Ownership
- All artwork, renderings, designs, depth maps, and production files created by Award Mint remain the exclusive property of Award Mint, LLC, including:
- 2D and 3D designs
- Digital models and relief files
- Tooling and production methodologies
- The Customer is granted a limited, non-transferable license for personal use of the finished product only.
- The Customer may not, without prior written consent:
- Reproduce, duplicate, or distribute designs
- Manufacture the design with another vendor
- Sell or commercially exploit the artwork
- Modify or create derivative works
11. Maker’s Mark / Identification
- Award Mint, LLC reserves the right to inscribe or mark its name, logo, and/or website on each medallion produced.
- Such marking:
- Will be placed discreetly on the bottom edge or a non-visible area of the medallion
- Will not appear on the primary visible face of the medallion design
- The Customer agrees not to remove, alter, obscure, or replicate such marking without prior written consent.
12. Marketing & Promotional Use
- Award Mint reserves the right to use:
- Artwork
- Renderings
- Photographs of completed medallions
- For marketing, advertising, and portfolio purposes.
- Confidentiality requests must:
- Be submitted in writing prior to design work
- Be approved in writing by Award Mint
- May be subject to additional fees
13. Customer-Provided Content
- The Customer represents and warrants that:
- They own or have permission to use all submitted materials
- Such materials do not infringe on any third-party rights
- The Customer agrees to indemnify and hold harmless Award Mint from any claims, damages, or legal actions arising from submitted content.
14. Production & Delivery
- Production timelines are estimates and not guarantees
- Award Mint is not liable for delays caused by:
- Supply chain disruptions
- Manufacturing issues
- Shipping carriers
- Events beyond reasonable control (force majeure)
15. Limitation of Liability
- Award Mint’s total liability is limited to the amount paid for the order
- Under no circumstances shall Award Mint be liable for:
- Indirect, incidental, or consequential damages
- Loss of business, profits, or opportunity
- Dissatisfaction related to subjective artistic interpretation
- Any damage, injury, or loss resulting from misuse, improper handling, modification, or unintended use of the product
16. Chargebacks & Payment Disputes
- By placing an order, the Customer agrees not to initiate a chargeback for services rendered in accordance with an approved design.
- In the event of a dispute:
- The Customer agrees to contact Award Mint first for resolution
- Unauthorized chargebacks may result in:
- Collection actions
- Recovery of fees, costs, and damages
- Enforcement of this Agreement to the fullest extent permitted by law
17. Acceptance of Terms
By placing an order, submitting payment, or approving a design, the Customer:
- Confirms they have read and understood this Agreement
- Agrees to be bound by all terms and conditions
18. Governing Law
This Agreement shall be governed by and construed in accordance with the laws of the State of Florida.
